Terms & conditions
Last updated 25 July 2026. Version 4.01. About these terms
These terms are a contract between you and ProveRent Ltd ("ProveRent", "we", "us"). They govern your use of proverent.com and everything on it. By creating an account, posting a review, or otherwise using the service, you accept them. If you do not accept them, please do not use the service.
2. Definitions
A "review" is any rating, written review, response, or reference you submit. A "subject" is the tenant, landlord, agency, or property a review is about. A "claimed profile" is a landlord or agency profile whose ownership we have verified. The "ProveRent Report" is the shareable summary of a tenant's rental record. "Content" means anything you submit, including documents you upload.
3. Eligibility and your account
You must be at least 18 and able to enter into a contract. You agree to:
- give accurate registration details and keep them up to date
- hold one account only, and not share it or transfer it to anyone else
- keep your password confidential and tell us promptly if you think someone else has access
- take responsibility for everything done through your account
We may refuse, suspend, or close an account where these terms are broken.
4. What ProveRent is — and what it is not
ProveRent publishes first-hand reviews of tenancies so both sides of the rental market can be judged on evidence. We are not a letting agent, a referencing agency, a credit reference agency, or a party to any tenancy. Reviews are the opinions of the people who wrote them. We do not verify every factual claim in a review, and nothing on ProveRent should be used as the only basis for a letting, credit, or Right to Rent decision, which remain your legal responsibility.
5. Posting reviews
You may only review a tenancy you were genuinely party to, as tenant, landlord, agent, or authorised representative. In addition:
- one review per person per tenancy — to change one, contact us rather than posting again
- reviews must be honest, first-hand, and based on your own experience
- you must not offer, request, or accept payment or any other benefit for a review, or write one on someone else's behalf
- you must not review a property, business, or person you are connected to, or that you compete with
- you must disclose any relationship that a reader would reasonably want to know about
Incentivised, fake, or retaliatory reviews are removed and may result in permanent suspension.
6. Content standards
Content must be accurate where it states facts, genuinely held where it states opinions, and must comply with the law. You must not post content that:
- is defamatory, knowingly false, or misleading
- is unlawful, harassing, threatening, obscene, or discriminatory, including on the basis of any protected characteristic under the Equality Act 2010
- reveals another person's private information — phone numbers, email or home addresses, bank details, immigration status, or health information
- concerns a legal dispute, criminal allegation, or court proceeding that has not been decided
- infringes anyone's copyright, trade marks, or other rights
- impersonates any person or misrepresents who you are or your relationship to the subject
- is advertising, spam, or posted using automated means
7. Verification
A review is marked "verified" when the reviewer supplies evidence of the tenancy — normally a tenancy agreement, rent statement or letting confirmation — and our team checks it. Verification confirms that the tenancy existed and that the reviewer was party to it. It is not a check of the opinions expressed. Supplying false or altered documents is a serious breach of these terms and grounds for permanent removal. We may withdraw a verified badge at any time if evidence no longer supports it.
8. Your content, and the licence you give us
You keep ownership of everything you write. By posting, you grant us a worldwide, non-exclusive, royalty-free, sublicensable licence to host, store, reproduce, adapt for formatting, publish, and distribute that content in connection with the service, including within a ProveRent Report. This licence continues for as long as the content remains published, and survives closure of your account for content that stays up under section 16. You confirm you have the right to grant it.
9. Moderation, reporting and the right of reply
Anyone can report a review by contacting us, and whoever a review is about can dispute it from their dashboard. Our process:
- every report is assessed by a person
- we may remove or hide content while we assess it
- the subject of a review may publish a response, which appears beneath it
- we tell the reporter and, where appropriate, the author what we decided, and either party may ask us to look again
- where a complaint concerns defamation, we follow the notice procedure under section 5 of the Defamation Act 2013 and the regulations made under it
We are not obliged to remove content simply because its subject disagrees with it. Repeated misuse of the reporting process may lead to suspension.
10. The ProveRent Report
The Report is a summary of a tenant's record, with the tenancies we have checked marked verified, generated from data already on the platform. It is free for tenants. It is shared by its reference link or as a PDF, and discloses no contact details or documents. Once issued it does not change; issuing a new Report replaces it, and the old reference stops working. We do not guarantee that any landlord or agency will accept a Report, and it does not replace formal referencing or affordability checks.
11. Claimed profiles for landlords and agencies
Landlords and agencies may claim their profile once we have verified ownership or authority — for agencies, normally against the Companies House register. Claiming a profile lets you respond to reviews, correct factual details, and add properties. It does not let you edit, hide, or remove reviews about you, or condition a tenancy on a review being changed or withdrawn.
Claiming is verified for a one-off verification charge, which pays for the check and is non-refundable whatever its outcome. You must give accurate and complete details — your name, company or registration number exactly as registered — and every document we ask for. If we cannot verify you, or a detail you give is wrong or mistyped, we will deny the claim, and claiming the profile again means paying the verification charge again.
12. Paid subscriptions
Some features for agencies are sold as a monthly subscription. Payment is taken by our payment provider; we do not store your card details.
- fees are stated on the plan page, are inclusive of VAT where it applies, and renew automatically each month until cancelled
- you may cancel at any time from your dashboard; cancellation takes effect at the end of the paid month and access continues until then
- consumers have the right to cancel within 14 days of subscribing under the Consumer Contracts Regulations 2013; if you asked us to start immediately, we may charge for what you used
- we may change prices on at least 30 days' notice, and you may cancel before the change takes effect
- if payment fails we may downgrade the account to the free features after notifying you
13. Acceptable use of the platform
You must not scrape, crawl, or bulk-collect content, use the service to build a competing dataset, resell access, attempt to gain unauthorised access to any system, probe or test our security, introduce malicious code, or interfere with the service or anyone else's use of it. Automated access is permitted only through an interface we provide for that purpose.
14. Intellectual property
The ProveRent name, logo, and the design, software, and compiled data of the platform belong to us or our licensors. We grant you a personal, non-transferable, revocable licence to use the service as intended. Nothing in these terms transfers ownership of our intellectual property to you.
15. Availability and changes to the service
We aim to keep the service available but do not promise it will be uninterrupted or error-free. We may change, suspend, or withdraw features, and will give reasonable notice of significant changes where we can. We may need to suspend the service for maintenance or security without notice.
16. Suspension and closing your account
You may close your account at any time from your settings. We may suspend or close an account that breaches these terms, or where we are required to by law. Because reviews are part of a shared public record that others rely on, closing your account does not automatically remove reviews you have written; where we can, we will disassociate them from your profile. You may ask us to remove specific content and we will consider each request, including your data protection rights.
17. Disclaimers
The service is provided "as is". Reviews express the views of their authors, not ours. We do not warrant that content is accurate, complete, or fit for any particular purpose, and we exclude all implied warranties to the fullest extent the law allows. Nothing in these terms affects your statutory rights as a consumer.
18. Our liability to you
Nothing here limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited.
- if you are a consumer, we are liable for loss you suffer that is a foreseeable result of our breach, but not for loss that is not foreseeable, and not for loss arising from your use of the service for any business purpose
- if you are a business, we are not liable for loss of profit, business, goodwill, data, or anticipated savings, or for any indirect or consequential loss, and our total liability in any 12-month period is limited to the fees you paid us in that period, or £100 if you paid nothing
- we are not liable for the acts or omissions of any tenant, landlord, or agency you deal with, or for decisions anyone makes on the basis of content on the platform
19. Indemnity
If you use the service for business purposes, you agree to indemnify us against claims, losses, and reasonable costs arising from content you post or from your breach of these terms. This does not apply to you as a consumer.
20. Complaints and disputes
If something has gone wrong, contact us first — most issues are resolved quickly. If we cannot resolve your complaint, you may be able to use an alternative dispute resolution scheme, and consumers in the UK can seek advice from Citizens Advice. This does not affect your right to bring court proceedings.
21. Changes to these terms
We may update these terms to reflect changes in the service or the law. We will post the new version here with an updated date, and for significant changes we will give at least 30 days' notice by email or in the product. Continuing to use the service after a change takes effect means you accept the new terms; if you do not, you may close your account.
22. General
If any provision is found unenforceable, the rest continues to apply. A delay in enforcing these terms is not a waiver. You may not transfer your rights under these terms; we may transfer ours as part of a reorganisation or sale of the business, and your rights will not be affected. Nobody other than you and us has any right to enforce these terms. These terms are the entire agreement between us about the service.
23. Governing law
These terms are governed by the law of England and Wales, and disputes may be brought in the courts of England and Wales. If you are a consumer resident in Scotland or Northern Ireland, you may also bring proceedings in your own courts.
